Booking terms

1. Booking and confirmation

When you submit the booking form we record your details and the tickets you selected, and we email you instructions for paying by bank transfer. At that point your booking exists but is not yet confirmed.

We check incoming transfers by hand. Once we have matched your payment against your booking we mark it as paid and email you a confirmation. That confirmation email is what approves your ticket. Please allow a few working days after you send the transfer, and longer for international payments.

2. Payment

Payment is by bank transfer only. We do not take card payments. Every booking is given a unique 16 character payment ID, and that ID must be included as the reference on your transfer. Without it we may not be able to match your payment to your booking, which will delay your confirmation.

Amounts are in EUR. Any transfer fees, currency conversion costs or charges levied by your own bank are yours to cover. Please make sure the full amount arrives on our account.

Some ticket prices may be listed as TBD while they are still being finalised. If you book one of those, transfer the amount shown for the items that are priced and we will contact you about the remainder once it is set.

3. Your details

We ask for your name, email, date of birth, the city and country you are travelling from, your arrival date and any allergies or dietary requirements. We use this to run the event, to cater for you safely and to contact you about your booking. We do not sell it or pass it to anyone outside the organising team and the venues and suppliers who need it to host you.

4. Changes and cancellation

If you need to change the tickets on your booking, your arrival date or anything else, email us and we will sort it out. If a change affects the price we will tell you the new amount before anything is settled.

If you have to cancel, tell us as early as you can. Refunds are handled case by case and depend on what we have already committed to venues and suppliers on your behalf, so a late cancellation may not be refundable in full.

5. If the event changes

The programme, timings and venues may change. We will email everyone who has booked if anything significant moves. If we have to cancel the event outright, we refund what you have paid us.

Flights, any other travel to and from Copenhagen, Denmark, your hotel room and travel insurance are not included in any ticket unless that ticket's page says otherwise. They are your own responsibility, you book and pay for them yourself, and they are not part of the amount you transfer to us.
